The Opportunity
Reporting to senior management, the HR & Payroll Officer will be responsible for managing the full employee lifecycle while ensuring payroll is processed accurately and on time.
This is a broad, hands-on role suited to someone who is comfortable working autonomously and taking ownership of all areas of HR within a small but international organisation.
The successful candidate will manage a relatively small global payroll using Employment Hero, while also acting as the primary point of contact for HR matters across the business.
You will support employees and managers across multiple countries and time zones, coordinate recruitment and employee administration, and help ensure our people processes remain professional, consistent and scalable as the organisation continues to grow.
 
Key Responsibilities
 
Payroll
  • Manage and process payroll for employees across Australia and international locations.
  • Administer payroll using Employment Hero, ensuring employee records, pay details, leave balances and payroll information are accurate and up to date.
  • Process payroll accurately and within required deadlines.
  • Review payroll data and resolve discrepancies prior to finalisation.
  • Manage employee commencements, terminations, salary changes, allowances, deductions and other payroll adjustments.
  • Maintain accurate payroll and employee records across all relevant entities.
  • Coordinate payroll information for overseas employees and work with external payroll providers where required.
  • Ensure payroll processes comply with applicable employment, taxation, superannuation and statutory requirements in relevant jurisdictions.
  • Process superannuation, payroll-related reporting and other statutory obligations as required.
  • Reconcile payroll reports and assist Finance with payroll-related reconciliations and reporting.
  • Respond to employee payroll queries in a professional and timely manner.
  • Maintain confidentiality and appropriate controls over payroll and employee information.
Recruitment and Hiring
  • Coordinate the end-to-end recruitment process from vacancy approval through to employee commencement.
  • Screen candidates across job advertisements and recruitment channels.
  • Maintain the recruitment tracker and ensure candidate information and recruitment activity are kept accurate and up to date.
  • Work closely with hiring managers to understand recruitment requirements and coordinate the selection process.
  • Schedule interviews and manage communication between candidates and hiring managers.
  • Conduct initial candidate screening where required.
  • Assist with reference checks and other pre-employment checks.
  • Prepare and update job descriptions and job advertisements.
  • Prepare employment offers, contracts and supporting documentation.
  • Maintain accurate recruitment records and candidate documentation.
  • Support workforce planning and recruitment initiatives as the organisation grows.
  • Ensure candidates receive professional and timely communication throughout the recruitment process.
Employee Onboarding
  • Manage the end-to-end onboarding process for new employees.
  • Prepare employment documentation, contracts and onboarding materials.
  • Coordinate pre-employment requirements and ensure all necessary documentation is completed.
  • Set up new employees in Employment Hero and maintain accurate employee records.
  • Coordinate with relevant internal teams to ensure new employees have the appropriate systems, equipment and access prior to commencement.
  • Support managers in delivering a consistent and positive onboarding experience.
  • Conduct or coordinate employee inductions.
  • Help new employees understand company policies, processes and culture.
  • Monitor probationary periods and ensure required reviews are completed.
Employee Offboarding
  • Manage the end-to-end offboarding process for departing employees.
  • Prepare termination and separation documentation.
  • Coordinate final payroll information, outstanding leave balances and other termination requirements.
  • Work with IT and relevant managers to ensure company access, equipment and assets are appropriately managed.
  • Conduct exit interviews and record relevant feedback where appropriate.
  • Ensure employee files and HR systems are updated promptly following departures.
  • Maintain accurate documentation relating to employee exits.
Performance and Professional Development
  • Coordinate employee performance review processes.
  • Work with managers to identify employee development and training needs.
  • Support the development and implementation of professional development plans.
  • Coordinate training, courses, certifications and other learning opportunities.
  • Maintain training and professional development records.
  • Assist with succession planning, career development and employee progression initiatives.
  • Support initiatives designed to strengthen employee capability, engagement and retention.
HR Administration and Compliance
  • Maintain accurate and complete employee records within Employment Hero and other HR systems.
  • Maintain organised and up-to-date HR folders, files and records within SharePoint, ensuring documents can be accessed easily by authorised users.
  • Prepare and maintain employment contracts, policies, procedures and HR documentation.
  • Ensure employee files contain all required documentation and are maintained in accordance with company requirements.
  • Monitor probationary periods, contract dates, employee documentation and other key HR milestones.
  • Maintain organisational charts, employee records and HR reporting information.
  • Assist with the development and review of HR policies and procedures.
  • Support compliance with applicable employment legislation and workplace requirements across relevant jurisdictions.
  • Coordinate employee leave administration and ensure records remain accurate.
  • Prepare HR reports and workforce information for senior management as required.
  • Support annual remuneration and salary review processes.
  • Maintain appropriate records for HR, payroll, compliance and audit purposes.
Skills and Experience
  • Previous experience in an HR, people operations, payroll or HR administration role.
  • Experience with both Employment Hero HR and Employment Hero Payroll is essential
  • Demonstrated experience processing payroll, preferably across multiple entities or jurisdictions.
  • Strong experience using Employment Hero for payroll and/or HR administration is highly desirable.
  • Experience supporting a small international or multi-jurisdictional workforce will be highly regarded.
  • Experience coordinating recruitment, candidate screening and interview processes.
  • Experience maintaining recruitment trackers or applicant tracking systems.
  • Demonstrated experience managing employee onboarding and offboarding processes.
  • Experience preparing employment contracts and maintaining employee documentation.
  • Experience maintaining HR files and documentation within SharePoint or a similar document management platform.
  • Experience supporting performance management and professional development initiatives.
  • Sound understanding of Australian employment practices and the ability to coordinate with external advisers regarding international employment requirements where necessary.
  • Strong Microsoft Office skills, particularly Excel, Word and Outlook.
  • Excellent written and verbal communication skills.
  • Strong interpersonal skills and the ability to build effective relationships across different teams.
  • Exceptional organisational skills and attention to detail.
  • Ability to manage multiple priorities and meet payroll, recruitment and HR deadlines.
  • Strong problem-solving skills and a proactive approach to identifying and resolving issues.
  • Ability to work collaboratively while also operating with a high degree of autonomy.
  • Demonstrated discretion and ability to maintain confidentiality when dealing with sensitive employee and payroll information.

  • Monday to Friday, 7:00 AM to 4:00 PM PH
