About the Role We are looking for an organized, proactive and detailed-oriented Accounting & Administrative Specialist to support a portfolio of financial / legal services and accounting clients, primarily based in Costa Rica.
You will be hired in Colombia through an Employer of Record (EOR), but will work as a full member of the client's internal team, collaborating daily with their leadership and operations.
You will help manage day-to-day accounting operations, administrative procedures and compliance tasks, ensuring that processes are kept up to date, well documented, and executed on time.
Key Responsibilities Accounting & Financial Operations
● Prepare, review and organize: Invoices and billing information, Basic accounting entries and supporting documentation, Bank and account reconciliations.
● Support the preparation and/or coordination of: Periodic financial reports and summaries, Tax or regulatory filings and related documentation (as required by the client), Maintain accurate, up-to-date records in the client's systems and tools.
Administrative & Compliance Support
● Client onboarding / data collection
● Registration and documentation for legal / fiscal purposes
● Follow-up on missing information from clients or third parties
● Ensure documentation is complete, properly filed and easily retrievable.
● Escalate any unusual or sensitive cases to the client's leadership with clear context.
Client Communication & Coordination
● Communicate proactively with internal stakeholders (and when needed, with end-clients) to:
● Clarify information, request missing documents, and confirm deadlines
● Inform in advance about any issues or delays that could affect deliverables
● "Raise your hand" early when:
● You have a conflict (appointments, personal issues, etc.) that might impact work
● You see risks or opportunities to improve a process
● Participate in virtual meetings with the client to review priorities and status.
Process Improvement
● Propose improvements to existing workflows (e.g., better controls, clearer checklists, more efficient ways to track tasks).
● Help document procedures so that the team gains consistency and scalability.
Requirements Must-Have
● Education/Background in Accounting, Finance, Business Administration or a related field.
● Previous Experience using QuickBooks.
● Proven experience (ideally 2+ years) in:
● Accounting support, bookkeeping, or similar financial/administrative roles
● Working with documentation, reconciliations and deadlines
● High level of organization and time management:
● Plans work, does not leave everything for the last minute
● Can manage multiple tasks and follow through without constant supervision
● Strong communication skills:
● Clear, professional written and verbal communication
● Comfortable reporting status, risks, and asking for help when needed
● Proactive and responsible:
● Takes ownership of tasks and results
● Has good judgment/criteria to prioritize and escalate issues appropriately
● Digital skills:
● Comfortable working 100% remotely with digital tools (email, spreadsheets, accounting/ERP or practice management software, task managers, etc.)
Language & Cultural Fit
● Spanish: Native or near-native (for daily internal communication).
● English: Intermediate or above (able to understand instructions, written documentation and basic verbal communication with international stakeholders if needed).
● Comfortable working with an international team and adapting to Costa Rican business practices and calendars.
Working Conditions
● Full-time, Monday to Friday, with schedule aligned to Costa Rica (approximately 1 hour behind Colombia; exact hours to be agreed with the client).

● Stable internet connection that supports video calls
● Occasional flexibility for extra hours may be required in peak periods; these will be coordinated in advance and compensated according to Colombian labor law through the EOR.
