Position SummaryWe are seeking a high-aptitude, proactive Back-Office Administrator to join our growing team. This is a critical "doer" role designed for an exceptionally organized individual who thrives on execution, accuracy, and continuous self-improvement.

You will provide comprehensive administrative support while maintaining the highest standards of remote work integrity and operational security.
Key Responsibilities
Data Management & Compliance Support - Systematic Data Entry: Enter receipts and supporting information into systematized templates with 100% accuracy.
- Tax & ASIC Administration: Prepare tax letters for electronic signature and assist with ASIC/corporate secretarial functions (excluding payments).
- Payroll & Reporting Assistance: Support STP finalization, WorkCover submissions, annual payroll tax, and Division 293 processes.
- G/L & Lodgments: Maintain internal BAS registers, individual tax return (TR) lodgments, and prepare bank reconciliations.
Operational Support & Execution - Billing & Invoicing: Prepare invoices, enter billing data accurately, and follow up on outstanding client payments.
- External Liaison: Coordinate with ACIS and other external providers, proactively chasing down required support or information.
- Digital Asset Management: Ensure all files are saved strictly to cloud/SharePoint environments; saving files locally is strictly prohibited for security reasons.
- Special Projects: Assist with software conversions, template development, and cloud migrations.
Ad-Hoc - Executive Support: Manage the Founder’s calendar, inbox, and travel arrangements.
- Content & Research: Assist with PowerPoint presentations, social media formatting/posting, and conduct research as assigned.
Must-Have Qualifications & Traits - Self-Teacher: A proven ability to independently research concepts (e.g., Australian tax, new software) via Google or tutorials before asking for help.
- High-Aptitude & Speed: Ability to work quickly and diligently (Tip: there will be an assessment administered to shortlisted candidates, and historically, top performers in this role typically complete the assessment in under 35 minutes)
- Must be an overachiever and/or with academic honors or dean's list standing who takes personal ownership of every task.
- Uncompromising Integrity: Absolute transparency and availability in a remote work setup
- Communication: Excellent written and spoken English, capable of professional correspondence and meticulous note-taking.
- Technical Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
Preferred Experience - Background: Experience in banking, legal, or professional accounting services is highly regarded.
- Software: Hands-on experience with Xero, MYOB, or any Accounting software.
- Education: Honors graduates from reputable institutions are preferred.
