About the Role:

We are seeking a detail oriented and proactive Business Process & Operations Specialist to support the efficiency and consistency of our internal operations. In this role, you will be responsible for managing process documentation, supporting audit readiness, and driving continuous improvement across the organization.
You will collaborate cross-functionally to maintain policies and SOPs, coordinate audits, track progress, and ensure accountability—making sure key initiatives are executed effectively and nothing falls through the cracks.

Key Responsibilities Compliance & Process Management:
  • Maintain, update, and manage company policies, SOPs, and process documentation to ensure accuracy, consistency, and accessibility.
  • Oversee document control processes, including versioning, review cycles, and employee acknowledgment workflows.
  • Coordinate internal and external audits (e.g., ISO, CMMI), including documentation preparation, request tracking, and timely follow-ups.
  • Maintain audit trackers and ensure all documentation is complete, organized, and audit-ready.
  • Track corrective actions and follow up with stakeholders to ensure timely resolution.
  • Monitor adherence to internal processes and compliance requirements, proactively identifying and escalating risks or gaps.
  • Serve as the primary point of contact for policy and process-related inquiries.
Business Process Improvement & Automation:
  • Analyze current workflows to identify inefficiencies, bottlenecks, and inconsistencies.
  • Translate processes into clear, structured SOPs and training materials.
  • Map current and future-state workflows to enhance clarity, scalability, and efficiency.
  • Partner with technical teams to support automation initiatives using tools such as Microsoft 365 and Power Automate.
  • Track adoption and effectiveness of new processes to ensure long-term sustainability and compliance.
  • Identify root causes of recurring issues and recommend practical, actionable improvements.
  • Support the rollout of process changes, including communication and basic training.
Operations Support:
  • Provide operational support to the Director of People and Leadership Team.
  • Maintain dashboards, trackers, calendars, and centralized documentation repositories.
  • Coordinate logistics for audits, company meetings, and internal events.
  • Track tasks and follow up with stakeholders to ensure deadlines and deliverables are met.
  • Monitor key operational activities and proactively flag risks, delays, or bottlenecks.
  • Support onboarding and offboarding processes.
  • Assist in coordinating cross-functional initiatives to ensure alignment and timely execution.
Vendor Management:
  • Maintain vendor documentation, including contracts, agreements, and related records.
  • Track contract terms, expiration dates, and renewal timelines to ensure continuity and compliance.
  • Coordinate with internal stakeholders and vendors on renewals, updates, and documentation requests.
  • Conduct research on potential vendors and support evaluation of new tools and services.
  • Ensure vendor records are well-organized to support audits, compliance, and operational needs.
Required Qualifications:
  • 4-6 years of experience in operations, audit/compliance coordination, business process management, or similar roles.
  • Proven experience developing and maintaining policies, SOPs, and process documentation with a high level of accuracy.
  • Strong attention to detail with exceptional organizational and documentation skills.
  • Experience supporting ISO-certified environments (ISO 9001, ISO 27001 preferred; familiarity with CMMI/CMMC is a plus).
  • Demonstrated ability to identify risks, escalate issues proactively, and communicate effectively with stakeholders.
  • Experience with project management, workflow mapping, and process improvement initiatives.
  • Familiarity with Microsoft 365 tools (SharePoint, Teams, etc.).
  • Comfortable learning and supporting internal systems and automation tools.
  • Ability to work independently while collaborating cross-functionally to drive initiatives forward.
Preferred Qualifications:
  • Experience in government contracting or highly regulated environments.
  • Exposure to change management, quality management systems, or process audits.
