Job Description

HubSpot Administrator

Role Summary
At Kasada, we are currently looking for a HubSpot Administrator to join our team in Medellín, Colombia. This role is responsible for owning, optimizing, and scaling the HubSpot platform for global revenue teams. You'll act as the primary HubSpot administrator, managing system configuration, user access, data governance, and integrations with key tools across the go-to-market ecosystem.
A major focus is building a scalable CRM environment that supports the full revenue lifecycle—from lead capture through closed-won—while ensuring clean data, accurate reporting, and a great user experience. You'll create and maintain workflows, automation, validation rules, and documentation, and drive adoption of new HubSpot features.

What you'll do
  • Manage the platform. Serve as primary HubSpot administrator managing configuration, user setup, permissions, security, and system optimization for our global revenue teams.
  • Build for scale. Configure and maintain HubSpot objects, fields, workflows, and automations that support business processes from lead capture through closed-won and beyond.
  • Connect the ecosystem. Maintain integrations between HubSpot and critical tools (Gong, Slack, marketing automation, future NetSuite ERP) and troubleshoot sync issues in partnership with Business Systems.
  • Govern the data. Implement validation rules, duplicate management, and data cleansing initiatives that maintain CRM hygiene and reporting accuracy.
  • Enable the teams. Create documentation, deliver training, and provide responsive troubleshooting support that empowers sales and marketing users.
  • Drive adoption. Manage HubSpot release updates, evaluate new features, and implement enhancements that improve productivity and user experience.
  • Optimize continuously. Monitor system performance, user adoption metrics, and identify opportunities for workflow optimization and process improvement.
  • Document everything. Maintain comprehensive documentation of configurations, business processes, and standard operating procedures for continuity and knowledge transfer.
You're a Great Fit If You
  • Proven administrator: 4-5 years of hands-on HubSpot administration experience, ideally supporting B2B SaaS sales organizations through growth phases. HubSpot Administrator certification required; Advanced Administrator or Platform App Builder certifications preferred.
  • Technical depth: Expert-level knowledge of HubSpot configuration including objects, fields, page layouts, record types, validation rules, and security settings. Fluent in automation tools (Flow, Process Builder) and declarative development approaches.
  • Integration expert: Track record managing CRM integrations with marketing automation, conversation intelligence (Gong), and other GTM tools. Comfortable troubleshooting sync issues and working with APIs. Future experience with ERP systems (NetSuite) a strong plus.
  • Process orientation: Solid understanding of B2B sales processes including lead management, opportunity progression, pipeline reporting, and revenue operations. Connects system configurations to business outcomes.
  • Problem-solver: Exceptional analytical and troubleshooting abilities with talent for translating business requirements into elegant technical solutions. Thinks multi-dimensionally about configuration impacts.
  • Operator mindset: Strong project management skills with ability to prioritize competing demands, manage stakeholder expectations, and deliver commitments on time. Comfortable with modern sales tech stack and data-driven decision making.
  • Quality-focused: Meticulous attention to detail with commitment to data governance, system documentation, and configuration standards. Naturally inclined to create structure and maintain clean systems.
  • Enabler & communicator: Natural teaching ability with excellent communication skills in English (written and verbal). Creates clear documentation and trains non-technical users effectively. Builds user confidence rather than dependency.
  • Self-directed: Proactive ownership mentality with ability to work independently in a BPO environment while maintaining strong connection to global team objectives. Takes initiative without being asked.
  • Adaptable learner: Stays current with HubSpot platform evolution, eagerly explores new features, and continuously seeks to improve. Comfortable with ambiguity and changing priorities in a scale-up environment.
