Job Summary We are seeking a highly organized and proactive Stock Control and Purchasing Assistant who will provide comprehensive support in the day-to-day operations of asset management and procurement. This role will serve as a reliable backup for both functions and will be responsible for various administrative and general tasks as required by the department.
Responsibilities Stock Control Support - Assist in tagging, tracking, and monitoring fixed assets across all company offices.
- Help maintain and update the fixed asset registry and inventory database.
- Participate in periodic physical inventory checks and audits.
- Support documentation of asset transfers, disposals, and reassignments.
- Coordinate with departments regarding asset usage, maintenance, or concerns.
- Help enforce asset policies and procedures.
Purchasing Support - Assist in sourcing suppliers, requesting quotations, and evaluating offers.
- Prepare and encode purchase requests and purchase orders, as may be required
- Follow up with vendors for order status and delivery timelines.
- Help inspect incoming and outgoing items against delivery documents (DRs, POs, etc.)
- Support the filing and maintenance of procurement records including PEZA requirements
- Ensure compliance with company procurement guidelines and approvals.
Back-up Duties - Act as back-up in the absence of the Fixed Asset Custodian and/or Purchasing OIC.
- Ensure continuity of operations for asset tracking and procurement processing.
- Escalate any urgent concerns to the immediate supervisor or relevant departments.
General Administrative Duties - Perform clerical tasks such as data entry, document filing, and reporting.
- Respond to internal inquiries and coordinate with relevant departments.
- Provide support for logistical arrangements (deliveries, collections, etc.).
- Participate in department meetings and provide input for process improvement.
Qualifications - Graduate of Business Administration, Supply Chain Management, Accounting, or a related field.
- At least 1–2 years of experience in administrative, purchasing, or asset management roles preferred.
- Strong attention to detail and organizational skills.
- Proficient in MS Office (Excel, Word, Outlook); experience with asset or purchasing systems, such as Netsuite and Hubspot, is a plus.
- Good communication and coordination skills.
- Ability to handle confidential information with integrity.
- Willingness to learn and take on varied responsibilities.
Work Conditions - Working hours: Monday to Friday, 8AM - 5PM
- Work set-up: Hybrid (atleast 3x a week onsite)
