Purpose of the Role
To provide high-level administrative, sales, and operational support to the CEO by ensuring follow-through on tasks, maintaining organisation, producing timely reports, and freeing the CEO to focus on strategy, leadership, and high-value client work.

Key Responsibilities:
  • Email & Calendar Management
    - Manage CEO inbox: triage, draft replies, file, escalate.
    - Ensure all meetings are scheduled with prep materials ready.
    - Follow up on outstanding messages and tasks.
  • Sales & CRM Administration
    - Update and maintain CRM with quotes, proposals, follow-ups.
    - Track sales targets and pipeline; send weekly sales status report.
    - Assist in preparing BOMs and proposals from CEO notes.
  • Task & Project Follow-Through
    - Maintain “CEO task tracker” and ensure tasks are completed.
    - Chase dependencies from team members, vendors, or clients.
    - Convert CEO’s strategic thoughts into structured action plans.
  • Reporting & Analysis
    - Prepare weekly/monthly business performance pack (sales, projects, development, finance highlights).
    - Collate data from managers and present concise summaries.
  • Merger & Special Projects Support
    - Document processes, meeting notes, and action items.
    - Coordinate schedules with lawyers, accountants, and stakeholders.
  • Communication Support
    - Draft internal updates and CEO communications to staff.
    - Document development briefs and circulate to teams/clients.
  • Optional: Personal Admin Support
    - Assist with light personal tasks (travel bookings, reminders).
