- Accounts Payable:
- Review, verify, and process invoices for payment.
- Schedule and prepare payments (EFT).
- Reconcile supplier statements and resolve any discrepancies.
- Maintain accurate records of all transactions and payments.
- Communicate with vendors via email regarding payment queries or issues.
- Payroll (for 5 Employees):
- Collect and verify employee timesheets and attendance records.
- Calculate wages, overtime, deductions, and entitlements.
- Process employee payments (weekly, fortnightly, or monthly).
- Maintain employee records, including tax file numbers, superannuation, and leave balances.
- Prepare and distribute payslips to employees.
- Ensure compliance with payroll legislation and update records accordingly.
- Bank Reconciliation:
- Perform daily, weekly, and monthly bank reconciliations.
- Match bank transactions with company records (receipts, payments).
- Investigate and resolve any discrepancies between bank statements and company records.
- Maintain accurate records of bank transactions for auditing purposes.
- Tax Preparation:
- Assist in preparing documentation for BAS (Business Activity Statements) in consultation with company accountant.
- Ensure compliance with tax obligations (GST, PAYG withholding, etc.).
- Prepare payroll tax returns, ensuring all necessary payments are made on time.
- Organise documentation for end-of-year tax returns, coordinating with external accountants as required.
- General Office Administration:
- Respond to emails, and manage correspondence.
- Maintain and update filing systems (digital).
- Assist in the preparation of reports, presentations, and general correspondence.
- Employee Records and Compliance:
- Maintain up-to-date employee records, including contracts, leave balances, and superannuation details.
- Track employee leave entitlements (annual leave, sick leave, etc.).
- Ensure compliance with workplace health and safety requirements and company policies.
- Accounts Receivable (if applicable):
- Track payments and follow up on overdue accounts.
- Reconcile accounts receivable balances and ensure payments are recorded accurately.
- Superannuation Administration:
- Calculate and process superannuation payments for employees.
- Ensure superannuation contributions are submitted to employee funds on time.
- Maintain records of superannuation contributions for reporting and compliance purposes.
- Month-End and Year-End Close:
- Assist in closing accounts at the end of each month and year.
- Ensure all financial transactions are accurately recorded and reconciled.
- Prepare reports for management and external auditors, as required.
- Assistance with Financial Reporting:
- Provide administrative support in preparing financial reports for management.
- Ensure accurate record-keeping for audits and financial analysis.
Qualifications: - Experience with Administrative tasks in overseeing the routine and advanced duties for other professionals.
- Work closely with administrators and other employees to organize files, create correspondence and prepare reports or documents.
- Complete a range of clerical tasks including managing calendars, sorting mail and preparing invoices.
- Responsible for helping to plan events and managing their supervisors’ schedules.
- Experience with Administrative and Accounting.
- Experience with Accounts Payable and Bank Reconciliation
- Experience with Payroll and Tax
Work Schedule: - Manila time: Monday - Friday 7am to 4pm
Work Location - Home-based
- Should have strong internet connection (minimum of 20 mbps)
- Should have own Laptop/PC (minimum of i5 8GB RAM)
